All OpinionX users can create folders to organize surveys within their workspace.
Folder Limit
Workspaces on the Free, Ask, and Analyze tiers can have up to 3 folders in total. Accelerate tier customers can create a custom number of folders.
Folder Nesting
Folders can be created within other folders, allowing you to create a nested organizational structure. For example, this means you could have folders at the workspace level for different departments, and then folders inside surveys for separate teams in each of those departments. Folder nesting is available to all users. Each nested folder counts towards your workspace's total folder limit.
Folder Permissions
Workspace Admins have access to all folders and view-only access to all surveys within the workspace.
Renaming, deleting, or altering access permissions to a folder can be controlled by workspace admins or the folder creator.
Surveys Within Folders
When a new survey is created, it is in the main workspace by default. If you are inside a folder when you click the 'Create Survey' button, then the survey will be created within that folder. Surveys can be moved between folders or moved back to the main unsorted section of your workspace by clicking the "Move to folder" button and selecting your chosen destination.
Restricted Access
Workspaces on the Accelerate tier can choose between two different levels of folder access for teammates:
๐ข Open Access: Every workspace member can open the folder, see the list of surveys, and open the survey dashboard as a viewer.
๐ Restricted Access: The folder only appears to users that have been granted access permission. Those chosen teammates have viewer access to all surveys in that folder. Workspace admins have viewer access on all folders and surveys. Otherwise, the folder and any surveys or additional folders within it are hidden to all other workspace members.
Only workspace admins and folder creators can make a folder restricted and choose who has access to it within the overall workspace team.
Deleting a Folder
When a workspace admin or folder creator deletes a folder, all folders and surveys within that survey are moved up to the level above it in the workspace structure.
That means if a folder was set to Restricted Access and the workspace admin deletes it, all the surveys in that folder will be moved to the general list of surveys on the workspace homepage and all workspace members will now have viewer access to its results dashboard. Therefore, if you plan to delete a restricted folder, you should first decide whether any surveys or nested folders should be deleted beforehand to prevent unintended data access.
Access Contradiction
Surveys have their own 'Survey Team' on the settings page of the survey dashboard. If a teammate or external collaborator is given a role on the survey team but that survey belongs to a restricted folder they are not a member of, then that survey will appear in the 'Shared' folder for for those newly added users. This ensures they can still access the specific survey without them being granted access to the entire folder.
